Healthcare and regulated

HIPAA-aware phones, messaging, and video.

Medical, dental, and behavioral health practices need phones that respect patient privacy and uptime. Cisco Webex Calling, HIPAA-eligible Webex Meetings, and secure messaging make that less complicated than it sounds.

Built for patient privacy

Communication that respects the exam room.

HIPAA-eligible Webex services with BAA.

Cisco offers a Business Associate Agreement on Webex Calling, Webex Meetings, and Webex Messaging. We help you execute it.

Patient SMS the right way.

10DLC-registered appointment reminders, lab notifications, and intake messaging with documented opt-in.

Secure on-call routing.

After-hours patient calls route to the on-call provider's cell without giving out personal numbers.

What HIPAA-aware means in practice

A BAA is the start, not the finish.

Front desk that never drops a patient call.

Auto-attendant for scheduling, billing, and clinical questions. Call queues so the second and third callers hear a real hold message instead of a busy signal. Voicemail routed to the right person, not a shared box.

Telehealth patients can actually join.

HIPAA-eligible Webex Meetings with a one-click link. No account, no download on mobile, waiting room enabled by default so a provider admits each patient.

Configured to support your compliance program.

Encrypted calls and messages, role-based admin access, and audit logs in Control Hub. We document the configuration so your compliance officer has something to file, and we keep PHI out of places it shouldn't be, like SMS.

Setup is billed as your first monthly invoice: design, implementation, and one hour of staff training. After that it's a flat per-user rate. See pricing for the current plan cards, and multi-location if you run more than one clinic.

Common questions

HIPAA-aware phones, answered straight.

Does Cisco sign a Business Associate Agreement?

Yes. Cisco offers a BAA covering Webex Calling, Webex Meetings, and Webex Messaging. We walk you through executing it as part of onboarding, and we configure the services the way the BAA expects them to be configured.

Does signing a BAA make our practice HIPAA compliant?

No. A BAA covers the vendor's obligations. Your policies, staff training, and how the system is configured still matter. We set up access controls, routing, and messaging to support your compliance program, and we're honest about what the phone system can and can't do for you.

Can we text patients appointment reminders?

Yes, with 10DLC registration and documented opt-in. We register your practice and campaign with the carriers, draft opt-in language, and configure texting from your business number. Keep clinical details out of texts; reminders, confirmations, and directions are the safe lane.

Can we run telehealth visits on Webex?

Yes. Webex Meetings is HIPAA-eligible under the Cisco BAA. Patients join from a link in their reminder, no account required, and the provider admits them from a waiting room. Recording is off by default for clinical visits.

How do after-hours calls reach the on-call provider?

A schedule in Webex Calling routes after-hours patient calls to the on-call provider's Webex App or cell. The provider calls back from the practice number, so their personal mobile number is never exposed to a patient.

We have more than one clinic. Can this work as one system?

Yes. One Webex Calling system covers every clinic with one dial plan and one admin console. Central scheduling can overflow between locations, and each site keeps its own local number and its own 911 dispatchable address.

What does it cost?

Per user, per month. Webex Calling starts at $22.45 per user, with Meetings and Suite plans on the pricing page. Setup is billed as your first monthly invoice. Standard terms are 36 months, with a 12-month option for slightly more.
